Information we collect
When you apply for accommodation, we collect the details you enter on the application form and the documents you upload. These can include contact, identity, address, study, funding, NSFAS and accommodation-preference information. If you proceed with a booking, we may also record the booking-fee amount, payment reference, payment date and proof of payment. If you electronically accept a booking agreement, we record the contract version, your typed name, identity-verification result, acceptance date and limited technical evidence used to protect the integrity of the signing record. We also collect information submitted by accommodation providers who request a consultation.
Why we use it
We use this information to receive and assess applications, complete student vetting, communicate with applicants, recommend or arrange suitable accommodation, maintain booking records, respond to provider enquiries and administer our accommodation services.
Who can access it
Authorised Student Stay SA staff and managers can access application information through the protected back office. Relevant information may be shared with an accommodation provider or service partner when this is necessary to assess or complete a requested placement.
Security and retention
Uploaded application documents, proofs of payment and contract PDFs are stored outside direct public access. Contract signing links use long, private, time-limited tokens and each acceptance remains tied to the exact document version sent to the student. The public application tracker requires both the application reference and a private PIN, and never displays identity or uploaded documents. The automated Stay Assistant does not store chat messages. We keep application and agreement records only for as long as they are needed for the purposes described above, operational records or applicable requirements.
Your choices
You may ask us to confirm what personal information we hold about you, request a correction, or ask a question about how it is used. Some records may need to be retained where they are required to administer an active application, booking or service.
